What These Terms Cover
This page sets out how booking, payments, cancellations, wallet credits, and support operate for Experience Co. trips. You may review the summary first and then refer to the full sections below for the applicable detail.
These terms apply to ExCo and Bucketlist editions. Payment and cancellation figures depend on the category assigned to your edition, not the brand.
These Booking Conditions, together with our Privacy Policy and the Terms of Use of our website, as well as any other relevant information we have provided, form the contractual basis of your agreement with Experience Co. (registered name: Experience Collective Pvt Ltd.), with its registered office at 4th floor, Cherry Hills, Embassy Golf Links Business Park, Bengaluru, Karnataka 560071.
By confirming your booking, the primary individual named on the reservation affirms on behalf of all participants that:
- You have read these Booking Conditions and agree to follow them.
- You understand the risks that come with travel and the activities in your edition.
- You consent to our processing of personal data under our Privacy Policy.
- Every participant covered by the booking is at least 18 years old.
- You have told us about any medical condition, disability, dietary need, or other requirement that may affect participation.
- You accept responsibility for payments due under the booking.

Payment deadlines depend on the edition type
Visa-heavy, Mid/Adventure, and Easy-Visa or Domestic editions follow different timelines.
A missed scheduled payment auto-cancels the booking
If that happens, wallet credit is calculated under your edition policy. CX sends the cancellation email immediately.
Cancellation outcomes change by timing
The closer you are to the final payment deadline, the less flexibility remains.
Wallet credits stay valid for 12 months
Your Wallet shows the validity of each credit. Eligible credits may be used for a future booking or transferred within the configured limit.
Booking & Payments
Know Your Payment Timeline Up Front
To secure your seat, you must pay the first-payment amount shown for your edition. If you book after a later instalment is already due, ExCo may require the total amount due up to that date.
Your seat is confirmed when ExCo receives that first payment successfully. The confirmation email records the booking but is not an extra condition. This is separate from whether the edition itself is confirmed to run.
An available edition is open for booking but is not guaranteed to run. A confirmed edition is guaranteed to run. If an edition reaches its maximum spots, it moves to On Request and you may join the waitlist for free. An unavailable edition is cancelled or finished and cannot be booked.
Payment Schedule
The payment schedule for your edition depends on the edition category assigned by Experience Co. Please rely on the payment schedule shown in your booking communication and the policy summaries below.
How To Tell Which Category Applies
If your Edition is domestic or has simpler visa formalities
It will usually fall under Easy-Visa / Domestic and use the simpler payment structure assigned to that category.
If the destination involves tighter visa timelines
It may be classified as Visa-Heavy, with earlier payment deadlines than other categories.
If it is an international Edition without tighter visa complexity
It will often fall under Mid/Adventure, with the standard international payment schedule for that category.

For editions where most travellers need a time-sensitive visa process.
First payment: 20% at booking
Second payment: 40% at T-60
Final payment: 40% at T-50

For most international editions that are not classified as Visa-Heavy.
First payment: 20% at booking
Second payment: 40% at T-60
Final payment: 40% at T-50
Assigned Category
Easy-Visa / Domestic
T-60 and T-0
For domestic trips and editions with lighter visa requirements.
First payment: 20% at booking
Final payment: 80% at T-60
Where two deadlines apply, the first is for the second payment and the next is for the final payment. These figures come from ExCo's current policy configuration.
High-Commitment Editions
The normal payment category still applies
- Some editions require ExCo to commit money to suppliers for items such as internal flights or limited-capacity experiences.
- If your edition has a High-Commitment amount, ExCo will tell you that it applies to your booking. This amount is separate from the edition's payment schedule.
- The High-Commitment amount is non-refundable after ExCo commits it to suppliers. It is deducted only from an approved visa-rejection or medical-fitness refund; ordinary cancellation follows your edition's configured cancellation policy.
- Your edition still follows its assigned Visa-Heavy, Mid/Adventure, or Easy-Visa / Domestic payment schedule.
Missed Payment Deadline
If a scheduled payment is not received by the applicable deadline, the booking is auto-cancelled. We send reminders 14, 7, 3, 1, and 0 days before the deadline. The last four reminders warn about cancellation. CX sends the cancellation email immediately, and the applicable percentage of the eligible amount is credited to your ExCo Wallet.
You can pay the deposit and full amount by UPI, bank transfer, credit or debit card.
If Your Visa Is Rejected
Your eligible edition payments are protected
Send us the embassy's rejection letter before cancelling in the app, so CX can review and apply this protection. Eligible edition payments will be returned to your ExCo Wallet after deducting any non-refundable supplier amount confirmed for your booking. Embassy charges, appointment fees, insurance premiums, and other external costs are not included. This is wallet credit, not a cash or bank refund. The credit is valid for 12 months and may be used toward another edition.
Pricing & Surcharges
What Can Change In The Price
Before ExCo receives the first payment, the current edition price is the amount shown on the website or in your booking communication. Certain editions may be listed in USD, EUR, JPY, or another currency.
Where an Edition is priced in a foreign currency, or where your payment is processed in a settlement currency different from the underlying Edition currency, the payable amount for each scheduled payment may be determined using the prevailing exchange rate applicable on the date that payment is processed. Accordingly, unpaid future instalments may vary until they are paid.
Once ExCo receives the first payment, the base edition price for that booking is locked. We do not increase it later. Amounts already paid also remain fixed. If the edition is priced in a foreign currency, only the INR value of unpaid future instalments may change with the exchange rate used when each payment is processed.
Promotional offers, including discounts and early booking incentives, are applicable at the time of booking and cannot be transferred to future bookings or applied retrospectively.

What Happens If Your Plans Change
If You Change or Transfer Your Booking
If you need to modify or cancel a booking after confirmation, you must do so through the ExCo app under My Trips. The applicable charge is calculated automatically based on the relevant cancellation zone. For a cancellation, ExCo first totals the successful edition payments received, then deducts the administration fee. The fee cannot exceed the amount paid. The configured refund percentage is applied to the amount left after that deduction.
Edition transfers are not allowed. If you want to move to another edition, you must cancel your current booking first and then use any eligible ExCo Wallet credits toward a new booking.
Bereavement, illness, and other personal emergencies do not create a separate cancellation exception. The same configured cancellation calculation applies.
If You Cancel Before Departure
Cancellation outcomes depend on when you cancel relative to the payment deadlines attached to your edition category.
Before the early cancellation threshold for your category
Early Zone
After the administration fee is deducted, 90% of the remaining eligible amount is credited to your ExCo Wallet.
Between the early and final cancellation thresholds
Late Zone
After the administration fee is deducted, the applicable percentage of the remaining eligible amount is credited to your ExCo Wallet.
After the final cancellation threshold
Final Zone
No refund and no wallet credit.

Helpful To Know
If you have paid ₹50,000 or more toward your booking, you may choose a bank refund instead of wallet credit when the refund is approved. Wallet refunds are added immediately after approval. Bank refunds normally take 5 to 7 business days. Insurance premiums and external third-party costs remain non-refundable once incurred.
Changes & Cancellations by Us
If We Need To Change Or Cancel An Edition
We plan editions in advance, but sometimes we must change or cancel one. If ExCo cancels for a reason within its control, we will credit all edition payments received by ExCo to your Wallet. External charges paid to an embassy, insurer, airline, or another third party are not included.
For a significant change, such as a lower accommodation standard or major itinerary change, you may accept the change or cancel for the same full wallet credit. Force-majeure events follow the separate supplier-recovery rule below.
Responsibilities & Liabilities
Your Responsibility As A Traveler
You are responsible for ensuring that all members of your party meet the travel requirements, including passport, visa, and health regulations. We accept no responsibility for any inability to travel due to non-compliance with these requirements.
Additionally, you agree to abide by the authority of our leaders and staff during your Edition.
Special Conditions
Some Editions May Carry Extra Conditions
Certain Editions, such as those involving extreme activities, complex visa timelines, or destination-specific supplier commitments, may have additional terms regarding deposits, payment schedules, and cancellations. These will be clearly outlined at the time of booking.
Late Bookings
Booking Close To Departure
These Editions are intentionally kept small, so earlier booking is strongly recommended.
For bookings received close to the applicable payment deadlines for your edition, we reserve the right to pass on any extra costs incurred due to the late nature of the booking. We will advise you of such additional costs at the time you make your booking.
Please Note: If you make a late booking, we strongly recommend that you do not book any flights or make any other arrangements until you have received written confirmation of availability from us.
Edition Changes & Spot Transfers
Direct Transfers Are Not Allowed
Edition transfers are not permitted. If you wish to move to another edition, you must cancel your current booking and, if eligible, use the resulting ExCo Wallet credit toward a new booking.
The same rule applies to spot transfers between friends or family members. Spots cannot be reassigned directly from one traveler to another; the original booking must be cancelled first and any applicable credits can then be used toward a new booking.
ExCo Wallet Terms
How Wallet Credit Works
Where your cancellation outcome provides wallet credit, ExCo first deducts the administration fee and then applies the configured wallet-refund percentage to the remaining eligible amount.
An approved bank refund goes to the original payer and remains subject to the same cancellation rules and deductions. Wallet credit is immediate after approval. Bank refunds normally take 5 to 7 business days.
Force Majeure
Extraordinary Circumstances
If war, terrorism, natural disaster, epidemic, fire, severe weather, or another event outside ExCo's control prevents the edition from running, ExCo will seek recovery from its suppliers. We will credit your ExCo Wallet only with the amount we actually recover. We cannot promise a full refund before suppliers settle.
While supplier recovery is pending, ExCo will update affected customers once every three weeks.
Travel Insurance
Insurance For International And Domestic Trips
Travel insurance is mandatory for international trips and recommended for domestic trips.
For an international trip, you must have standard comprehensive travel insurance covering medical expenses, injury or death, repatriation, cancellation or curtailment, and every activity in the itinerary. We do not require a particular insurer or minimum sum insured.
You should carry proof of your insurance with you during your Edition. Experience Co. is not responsible for any costs incurred due to lacking adequate insurance.
If you must return home before your Edition concludes, no refunds can be made for unused portions of the Edition. However, depending on the circumstances, your travel insurance may cover some of these costs.
Health & Medical
Medical Readiness Matters
You must inform us at the time of booking of any medical conditions, disabilities, or dietary requirements that may affect your participation in the Edition. If any such circumstance changes after booking, you must notify us as soon as reasonably possible.
A special requirement does not block booking confirmation. CX coordinates the request and Production makes the final decision. We will tell you whether it can be supported by 30 days before departure. If circumstances later prevent us from delivering a previously accepted requirement, we will tell you as soon as we know, but this does not create a refund or other financial remedy.
ExCo does not require a doctor's certificate for its editions. If ExCo decides after payment that you cannot safely participate, we will refund the edition payments received after deducting any High-Commitment amount already committed to suppliers.
Passports & Visas
Travel Documents Are Your Responsibility
All participants are responsible for ensuring that they hold valid travel documents for every destination included in the Edition. Passports must remain valid for at least six months beyond the end of the Edition.
Visa requirements vary by destination and nationality, and it is your responsibility to secure all necessary visas prior to departure. Additionally, some Editions may require specific vaccinations or health precautions; you are required to undertake all necessary medical preparations and provide proof of vaccinations where mandated.
If an embassy rejects your visa, send us the embassy's rejection letter. The visa-rejection wallet-refund rule in the Booking & Payments section then applies.
Group Conduct
Respect The Group Experience
Participants are expected to contribute positively to the group dynamic. Disruptive behavior or actions that negatively impact the experience of other group members will not be tolerated.
A facilitator or ExCo's CX team may remove a participant whose conduct threatens safety, welfare, or the running of the edition. We normally give one clear warning first. A serious and immediate risk may lead to removal without a warning.
A removed participant receives no refund for the unused portion of the edition and has no appeal route through ExCo.
Travelers are expected to comply with all local laws and customs of the destinations visited during their Edition. Experience Co. will not be responsible for any breach of law or custom by participants.
Data Protection
How We Handle Your Information
We take your privacy seriously and adhere to all applicable data protection laws. Personal information collected by Experience Co. will be used solely for the purpose of booking and managing your Edition, including necessary communications related to the services provided.

Legal & Regulatory Information
Legal Information
This agreement is governed by the laws of India. The courts of Bengaluru, Karnataka have exclusive jurisdiction over disputes arising from these terms or a booking.
Experience Co. reserves the right to amend these terms and conditions at any time. Such amendments will be effective immediately upon posting on the company website.
