This page sets out how booking, payments, cancellations, wallet credits, and support operate for Experience Co. trips. You may review the summary first and then refer to the full sections below for the applicable detail.

Thank you for choosing Experience Co. as your partner in adventure and exploration. Based in Bangalore, India, and fueled by a passion for crafting unique experiences, we have been delivering exceptional travel editions tailored for the new-age, discerning traveler for over a decade. Our Editions are designed to immerse you in cultures, landscapes, and activities that are sure to enrich your life and create lasting memories.

These Booking Conditions, together with our Privacy Policy and the Terms of Use of our website, as well as any other relevant information we have provided, form the contractual basis of your agreement with Experience Co. (registered name: Experience Collective Pvt Ltd.), with its registered office at 4th floor, Cherry Hills, Embassy Golf Links Business Park, Bengaluru, Karnataka 560071.

By confirming your booking, the primary individual named on the reservation affirms on behalf of all participants that:

  • He/she has read and understood these Booking Conditions and agrees to abide by them.
  • He/she acknowledges and accepts the inherent risks associated with adventure travel.
  • He/she consents to our processing of personal data in line with our Privacy Policy.
  • He/she confirms that all members of the party are over 18 years of age.
  • He/she declares that no participant has any pre-existing medical condition or disability that may interfere with their active participation in the Edition.
  • He/she accepts financial responsibility for making all payments for the booking.

Missing a scheduled payment can auto-cancel your booking

The closer you are to the final payment deadline, the less flexibility remains.

Wallet credits stay valid for 12 months

They can be used for a future booking and may be transferred to friends or family.

Booking & Payments

Know Your Payment Timeline Up Front

To secure a booking, you must pay the applicable deposit confirmed at the time of booking. If you book on or after the applicable payment trigger for your edition, the required due amount must be paid at the time of booking. For visa-heavy editions, that trigger begins T-60 before the edition start date.

When you submit a booking request, it is treated initially as provisional. Your booking becomes confirmed only once we issue written confirmation by email. At that point, the contract between you and us comes into existence.

Payment Schedule

The payment schedule for your edition depends on the edition category assigned by Experience Co. Please rely on the payment schedule shown in your booking communication and the policy summaries below.

How To Tell Which Category Applies

If your Edition is domestic or has simpler visa formalities

It will usually fall under Easy-Visa / Domestic and use the simpler payment structure assigned to that category.

If the destination involves tighter visa timelines

It may be classified as Visa-Heavy, with earlier payment deadlines than other categories.

If it is an international Edition without tighter visa complexity

It will often fall under Mid/Adventure, with the standard international payment schedule for that category.

Visa-Heavy

T-60 and T-50

Applies to Editions where most travelers need a time-sensitive visa process before departure.

Deposit: 20% at booking

Scheduled payment: 40% at T-60

Final payment: 40% at T-50

Assigned Category

Mid/Adventure

T-60 and T-50

Applies to most international Editions that are not classified as Visa-Heavy.

Deposit: 20% at booking

Scheduled payment: 40% at T-60

Final payment: 40% at T-50

Assigned Category

Easy-Visa / Domestic

T-60 and T-0

Applies to domestic trips and Editions where visa requirements are lighter or more straightforward.

Deposit: 20% at booking

Scheduled payment: 80% at T-60

Where two deadlines apply, the first deadline is used to collect the initial scheduled payment and the second deadline is the final payment deadline. The exact percentages and thresholds shown above are pulled from the published policy configuration currently in effect.

High-Commitment Editions

Editions with locked-in costs follow a different structure

  • Certain editions involve costs that are locked in at the time of booking - such as internal flights and exclusive experience tickets. These editions follow a different payment structure.
  • The advance payment is calculated to cover all non-refundable components, and your spot is confirmed only on receipt of full edition payment.
  • The balance is due in two stages: 50% of the total by T-50, and the remainder by T-40.
  • When your edition is designated as a High-Commitment Edition, the non-refundable component within your deposit payment is forfeited in all cases.
  • Cash refunds on early cancellations (before T-60) are only applicable where the total booking amount exceeds ₹50,000 excluding non-refundable components and taxes; below this threshold, the refundable balance is issued as wallet credit only in all cases.

Missed Payment Deadline

If any scheduled payment is not received by the applicable deadline, your booking may be auto-cancelled. In that case, 50% of the amount paid may be credited to your ExCo Wallet, subject to the cancellation terms set out below.

You can pay the deposit and full amount by UPI, bank transfer, credit or debit card.

Visa Exemptions

Exemption 1: Waiting for Visa Results

If you have confirmed for your edition and applied for your visa but are waiting for results, you can make a partial payment of 30% towards your edition. Upon receiving your visa acceptance, you must settle the remaining balance promptly. In the event of visa rejection, Experience Co. will deduct 20% of your payment while the remaining amount will be credited towards a future Edition.

Exemption 2: Uncertain Visa Status

If your visa status remains uncertain 40 days before the Edition, you have two choices:

  1. Opt to cancel your spot with a small admin fee of INR 7,000 and get the difference credited into your wallet (validity 12 months) or
  2. Retain your spot with a total of 50% Payment. This 50% payment is non-refundable regardless of the visa outcome.

Pricing & Surcharges

What Can Change In The Price

The most up-to-date pricing for our Editions is available on our website. Certain Editions may be listed in local currencies, including USD, EUR, or JPY, depending on the destination, operating model, or payment flow. Prices remain subject to variations in taxes, transportation costs, fuel costs, and other supplier-driven inputs.

Where an Edition is priced in a foreign currency, or where your payment is processed in a settlement currency different from the underlying Edition currency, the payable amount for each scheduled payment may be determined using the prevailing exchange rate applicable on the date that payment is processed. Accordingly, unpaid future instalments may vary until they are paid.

Once a scheduled payment has been successfully processed, that paid amount will not be retrospectively adjusted solely due to later exchange-rate movement. Any increase to the underlying base Edition price after booking confirmation, excluding ordinary exchange-rate conversion on unpaid future instalments, will not affect your booking unless it exceeds 5% of the total Edition price.

Promotional offers, including discounts and early booking incentives, are applicable at the time of booking and cannot be transferred to future bookings or applied retrospectively.

Changes & Cancellations by You

What Happens If Your Plans Change

If You Change or Transfer Your Booking

If you need to modify or cancel a booking after confirmation, you must do so through the ExCo app under My Trips. The applicable charge is calculated automatically based on the relevant cancellation zone. A flat administration fee of ₹7,000 applies to both cancellations and edition changes. This fee replaces any percentage-based admin charge references.

Edition transfers are not allowed. If you want to move to another edition, you must cancel your current booking first and then use any eligible ExCo Wallet credits toward a new booking.

If You Cancel Before Departure

Cancellation outcomes depend on when you cancel relative to the payment deadlines attached to your edition category.

Before the early cancellation threshold for your category

Early Zone

₹7,000 admin fee deducted and 90% of the amount paid is credited to your ExCo Wallet.

Between the early and final cancellation thresholds

Late Zone

₹7,000 admin fee deducted and the applicable percentage of the amount paid is credited to your ExCo Wallet.

After the final cancellation threshold

Final Zone

No refund and no wallet credit.

Helpful To Know

If you have paid ₹50,000 or more toward your booking, you may request a bank transfer instead of wallet credit, subject to the same applicable zone logic and deductions. Insurance premiums and third-party costs remain non-refundable where already incurred.

Changes & Cancellations by Us

If We Need To Change Or Cancel An Edition

We plan Editions well in advance, but occasionally we must make changes or cancel confirmed bookings. In such cases, we will inform you as soon as possible, offering alternative arrangements or a refund.

For significant changes, such as a downgrade in accommodation or a major alteration in the itinerary, you will have the option to accept the change, switch to another Edition, or cancel with a full refund.

Responsibilities & Liabilities

Your Responsibility As A Traveler

You are responsible for ensuring that all members of your party meet the travel requirements, including passport, visa, and health regulations. We accept no responsibility for any inability to travel due to non-compliance with these requirements.

Additionally, you agree to abide by the authority of our leaders and staff during your Edition.

Special Conditions

Some Editions May Carry Extra Conditions

Certain Editions, such as those involving extreme activities, complex visa timelines, or destination-specific supplier commitments, may have additional terms regarding deposits, payment schedules, and cancellations. These will be clearly outlined at the time of booking.

Late Bookings

Booking Close To Departure

These Editions are intentionally kept small, so earlier booking is strongly recommended.

For bookings received close to the applicable payment deadlines for your edition, we reserve the right to pass on any extra costs incurred due to the late nature of the booking. We will advise you of such additional costs at the time you make your booking.

Please Note: If you make a late booking, we strongly recommend that you do not book any flights or make any other arrangements until you have received written confirmation of availability from us.

Edition Changes & Spot Transfers

Direct Transfers Are Not Allowed

Edition transfers are not permitted. If you wish to move to another edition, you must cancel your current booking and, if eligible, use the resulting ExCo Wallet credit toward a new booking.

The same rule applies to spot transfers between friends or family members. Spots cannot be reassigned directly from one traveler to another; the original booking must be cancelled first and any applicable credits can then be used toward a new booking.

ExCo Wallet Terms

How Wallet Credit Works

Where your cancellation outcome provides wallet credit, that credit is issued after the applicable ₹7,000 administration fee has been deducted.

Wallet credit remains valid at full value for 12 months from the date of issue.
Unused wallet credit fully lapses after 12 months.
Bank transfer is available only where you have paid ₹50,000 or more toward the booking.
Wallet credits may be transferred to friends or family for a new booking, up to 1 transfer per guest.
Wallet credits cannot be converted into cash.

Any approved bank transfer will be processed to the original payer and remains subject to the same cancellation zone rules, non-refundable third-party costs, and applicable deductions.

Force Majeure

Extraordinary Circumstances

You may cancel your booking without a cancellation fee in the event of unavoidable and extraordinary circumstances occurring at the Edition destination that significantly affect the performance of the Edition. Such circumstances include war, natural disasters, epidemics, or any other severe situation that poses a threat to human health.

In cases of force majeure, meaning unforeseeable circumstances such as war, terrorist activity, natural disaster, fire, or severe weather conditions, Experience Co. will not be liable for any changes or cancellations. However, we will endeavor to provide prompt assistance and, where possible, offer alternative arrangements or refunds.

Travel Insurance

Insurance Is Mandatory

Travel insurance is mandatory for participation in our Editions.

You must secure comprehensive travel insurance that covers medical expenses, injury, death, repatriation, cancellation and curtailment. Ensure your policy covers all activities listed as part of the Edition you are booking.

You should carry proof of your insurance with you during your Edition. Experience Co. is not responsible for any costs incurred due to lacking adequate insurance.

If you must return home before your Edition concludes, no refunds can be made for unused portions of the Edition. However, depending on the circumstances, your travel insurance may cover some of these costs.

Health & Medical

Medical Readiness Matters

You must inform us at the time of booking of any medical conditions, disabilities, or dietary requirements that may affect your participation in the Edition. If any such circumstance changes after booking, you must notify us as soon as reasonably possible.

We will make reasonable efforts to accommodate special requirements, but cannot guarantee this in all circumstances. For physically demanding or remote Editions, we may require a doctor certificate confirming fitness to travel.

Passports & Visas

Travel Documents Are Your Responsibility

All participants are responsible for ensuring that they hold valid travel documents for every destination included in the Edition. Passports must remain valid for at least six months beyond the end of the Edition.

Visa requirements vary by destination and nationality, and it is your responsibility to secure all necessary visas prior to departure. Additionally, some Editions may require specific vaccinations or health precautions; you are required to undertake all necessary medical preparations and provide proof of vaccinations where mandated.

Group Conduct

Respect The Group Experience

Participants are expected to contribute positively to the group dynamic. Disruptive behavior or actions that negatively impact the experience of other group members will not be tolerated.

Experience Co. reserves the right to remove any participant from an Edition without recourse to a refund if their behavior is deemed incompatible with the welfare of the group or the smooth running of the Edition.

Travelers are expected to comply with all local laws and customs of the destinations visited during their Edition. Experience Co. will not be responsible for any breach of law or custom by participants.

Data Protection

How We Handle Your Information

We take your privacy seriously and adhere to all applicable data protection laws. Personal information collected by Experience Co. will be used solely for the purpose of booking and managing your Edition, including necessary communications related to the services provided.

Legal & Regulatory Information

Legal Information

This agreement is governed by the laws of India, and any disputes will be handled exclusively in the Indian legal system (Courts of Bangalore). Our terms are compliant with applicable local and international regulations.

Experience Co. reserves the right to amend these terms and conditions at any time. Such amendments will be effective immediately upon posting on the company website.
